Fax Direct from Applications
Prepare documents in your favourite software application
(such as Word, Excel, and PowerPoint) hit the send Zetafax
button and off you go. Multi-doc faxing, allows you to
fax multiple documents from different applications as
a single fax message. Documents and brochures sent regularly
can be stored as fax attachments saving even more preparation
time.
Address books
Need to keep track of commonly used fax numbers? Zetafax
has two types of address books to help you - a public
address book for use by everyone on the network and a
private address book for individual users. Fax numbers
can also be stored in e-mail address books. This gives
you instant access to regular fax numbers. No need to
look up numbers, no need to type numbers in each time
you send a fax.
Fax shots
Sending documents to multiple recipients can be a monotonous
and time consuming task. With Zetafax, setting up broadcast
faxes is simple. Create your document, select recipients
from your customer database and merge the contact list
to your document. Zetafax does all the work for you; all
you have to do is hit the send Zetafax button.
Administration
Installation and administration of Zetafax has never been
easier. Many of the configuration options have been automated
to make installation quicker. Remote administration allows
administrators to run the Zetafax server monitor program
from their desktop so there's no need for system administrators
to move from their desk to the Zetafax server computer.

Sending a fax via a conventional fax machine can take up
to five minutes, but sending a fax using Zetafax will take

Email
The Zetafax e-mail gateway allows users on the network
to send and receive fax messages directly from their e-mail
client.
Zetafax integrates with all leading e-mail systems:
- Microsoft Exchange
- Lotus Domino
- Novell GroupWise
- SMTP
Sending faxes via the e-mail gateway
Sending faxes via the e-mail gateway is simple. Select the
"Send Zetafax" button from your e-mail client
and Zetafax will fax it for you. You can select letterhead,
coversheet, time of sending and even preview the message
before sending. Faxes can be monitored through the "Fax
Outbox" folder and you will have access to a list of
all faxes submitted to the Zetafax server.
Sending attachments via the e-mail gateway
E-mail users can also fax messages with attachments. The
Zetafax server will convert the attachments and fax them
with your e-mail message.
Receiving faxes via the e-mail gateway
Receiving faxes via the e-mail gateway is just as straightforward.
The Zetafax direct dial routing option, (DID), routes faxes
straight to your e-mail in-box.
The integrated fax viewer will allow you to rotate faxes
which have been scanned in upside down and it will allow
you to amend faxes before forwarding them on.

FaxControl
Monitoring
A quick consultation of fax archive
FaxControl for Zetafax allows any single user in your company
to locate easily and immediately all sent and received faxes.
This is done by using customised queries independent of
the location of the documents in the Zetafax archive. Every
fax is archived in the FaxControl database in an indexed
structure which makes it easy to perform queries. FaxControl
enhances the search and retrieval capabilities of Zetafax
enabling you to perform searches based on a wide range of
criteria: Zetafax user, sender/recipient name, organisation
name, date range, time interval, subject, fax ID, fax number,
transmission status and category. For example you can associate
a category to each fax, in order to index it to the database
thus making the search easier.
An efficient administration of fax flow
FaxControl for Zetafax is a very helpful tool not only for
those users who need to consult the fax archive but also
for the IT Manager who administrates the company's Information
System. Through the Web interface it is possible to request,
export and print reports related to:
- fax costs of users or individual departments
- the total number of faxes sent and received by users
or individual departments
- the total number of the faxes sent by each device (modem/fax
board)
With this information it is possible to create accurate
statistics highlighting department fax usage and costs as
well as identifying which transmission devices are most
frequently used. Reports can be displayed or printed in
graphical and tabular form to show trends and costs at a
glance.
A simple and user-friendly interface
- FaxControl for Zetafax is easy to use due to its functional
and intuitive interface.
- It contains customised search parameters for sent and
received faxes making the navigation within the results
quicker, easier and more efficient.
- Fax details can be added or modified and the fax image
can be forwarded by e-mail.
A functional management of user groups
FaxControl for Zetafax allows subdividing users into different
hierarchical groups, creating a structure that can be independent
from the company's organisation chart and the user groups
created for the fax server's usage. The Network Administrator
can assign specific searching and viewing rights for any
single user or whole groups of users. In this way it is
possible to make faxes accessible only to users that have
the adequate permissions to search, view and/or modify fax
details.
Standard Version
This version is suitable for small companies because:
- It is optimised for small to medium sized networks with
low fax volume
- It utilises MSDE as database. MSDE is a product that
does not require licensing and it has a limit of 2 GB
of data storing capacity
Professional Version
This version is suitable for medium and big companies
because:
- It is optimised for many users and large volumes
- It utilises SQL Server as database, which gives a high
level of data managing.
- This software needs licenses depending on the number
of user connections.
Enterprise Version
The Enterprise version is for companies that have already
implemented FileNET Panagon Integrated Document Management
and Zetafax Fax Server. With this FaxControl Version, every
fax sent or received will be automatically imported into
the centralised FileNET Panagon archive. In this way it
will be possible to achieve a complete and updated overview
of the fax flow of the company fax server. The Enterprise
Version therefore allows companies to implement a real Integrated
Document Management System for all the fax documents. At
the same time it allows you to archive and search for faxes
in an extremely simple and quick way.
ZetaFax API Toolkit
Using the Zetafax API Toolkit, there are five additional
ways of submitting a fax to the Zetafax server. These methods
have been designed to make automatic faxing from other applications
not only feasible, but also extremely easy to implement.
Automatic submission program
The ZSUBMIT program lets any computer, regardless of operating
system, send faxes by creating a text file in a shared directory
on a fileserver. The text file only needs a few lines added
to give the fax number and other message options such as
coversheets and time to send.
Embedded addressing
Embedded addressing allows you to address faxes from within
the document you are creating in your Windows application.
This eliminates the need for the user to manually enter
this information within Zetafax, thus automating the sending
process.
Dynamic Data Exchange (DDE)
DDE may be used to pass addressing information from another
Windows application to the Zetafax client. Just as with
Embedded addressing, this eliminates the need for the user
to manually enter this information within Zetafax.
COM (Component Object Model) and ‘C’ language
callable functions
The Zetafax API Toolkit now supports COM, which makes it
easy and intuitive to call API routines from programming
languages such as Visual Basic and C++. A library of callable
'C' functions are also included in the toolkit for languages
and environments where COM is not supported. The COM component
of the Zetafax API Toolkit offers the greatest degree of
control when fax-enabling applications or automating fax
processes, with enhanced flexibility and usability as compared
to the standard 'C' language API.
